Project Overview: We are seeking an experienced Freelance Operation Support Officer to provide crucial support in the day-to-day operations of our project. The ideal candidate will have a strong background in operational support, with proven skills in coordination, administration, and process improvement. The Operation Support Officer will be responsible for ensuring smooth operations, managing tasks, and supporting various teams to achieve operational efficiency. Key Responsibilities: Operational Support: Provide administrative and operational support to ensure the efficient functioning of daily operations. Assist in the development and implementation of operational procedures and policies. Monitor and report on operational performance metrics, identifying areas for improvement. Task Coordination: Coordinate and manage various operational tasks and projects, ensuring timely and accurate completion. Liaise with different departments and teams to facilitate communication and collaboration. Track and manage project timelines, deliverables, and resource allocation. Process Improvement: Evaluate existing operational processes and workflows, recommending and implementing improvements to enhance efficiency and effectiveness. Identify bottlenecks and inefficiencies, and develop solutions to address operational challenges. Document and standardize operational procedures to ensure consistency and compliance. Administrative Support: Handle administrative tasks such as scheduling meetings, preparing reports, and maintaining records. Manage correspondence, including emails, phone calls, and other communications. Assist with data entry, database management, and other administrative functions as needed. Customer and Vendor Relations: Serve as a point of contact for internal and external stakeholders, addressing inquiries and resolving issues. Manage relationships with vendors, suppliers, and service providers, ensuring that service agreements are met. Facilitate the procurement of supplies and equipment as required. Reporting and Documentation: Prepare and present regular reports on operational activities, performance, and progress to management. Maintain accurate records and documentation related to operational processes and projects. Ensure that all documentation is up-to-date and accessible for reference. Qualifications: Proven experience as an Operations Support Officer, Administrative Assistant, or similar role, with a strong background in operational support and coordination. Excellent organizational and multitasking skills, with the ability to manage multiple tasks and projects simultaneously. Strong problem-solving skills, with a focus on identifying and addressing operational issues. Proficiency with office software and tools, such as Microsoft Office Suite (Word, Excel, PowerPoint) and project management software. Effective communication skills, with the ability to interact with stakeholders at all levels. Attention to detail and a commitment to maintaining high standards of accuracy and quality. Ability to work independently and take initiative in a freelance capacity.
